Completing a Timesheet

When you have a timesheet to complete, you will receive:

  1. An E-mail
  2. A Task in your Cezanne inbox

To enter time on your timesheet, either:

  • Log in using the link in the e-mail (this will open the task automatically).
  • Log in as normal and select the Task from your Cezanne inbox.

Depending on the configuration of your system, your timesheet will be one of the following types:

Select the type that is relevant to you and follow the instructions to complete your timesheet.

Duration

When you first open the task, the timesheet will look like the screenshot below.

To begin entering time:

  1. Select Add Activity.
  1. Select each activity that you require from the available activities. (You can hold down CTRL to select multiple activities in the list)
  2. Click Select.
  1. For each activity, enter the hours you worked on it for each day in the week.
  2. Add any additional activities (following the same steps as above) as required.

Note:

  • Certain activities will have different Time Types, e.g. Standard Work Time, Overtime, etc.
  • You should select an activity record on the timesheet for each time type.
  1. When you have completed entering your activities for the week, select Submit Request to send it to your Approving Manager.

Note:

  • When you next receive a timesheet, the activities you have selected the previous week will be pre-populated with the hours blank.

Comments, Bank Holidays and Absences

Comments

To add comments to the Duration timesheet:

  1. Hover over any activity box and click the icon that appears.
  2. Enter your comments in the box.
  3. Click away to save the comment.

Note:

  • When a comment is entered the comments icon will change colour to blue.
Bank Holidays

A Bank Holiday icon will appear on any days which are set as Bank Holidays in your calendar.

Absences

In the Duration timesheet, any absences will appear at the bottom of the timesheet underneath all Time Types. The Absence has the Plan name listed with the amount of hours automatically entered into the box for that day (as shown below):

Note:

  • The Absence section of the timesheet is read-only.
Time In / Time Out

When you first open the task, the timesheet will look like the screenshot below.

To begin entering time for the first day:

  1. Select Add Activity.
  1. Click the Manage Activities button.
  1. Select which Available Activities to add to the timesheet.
  1. Add a Timesheet Entry by selecting the Project, Activity and Time Type from the drop-downs.
  2. Click Add & Close or if you need to enter another activity for this day, click Add Another.
  1. Once you have completed the entries for one day, select each day in the week and repeat steps 1 - 4.

Note:

  • Start / End Times and Comments can be entered on either the Add Timesheet Entry pop-up or the Timesheet itself.
  • You can enter times without a colon by typing the numbers and clicking away from the Start or End boxes. For example, you can enter 3:45pm by typing '1545' and clicking away. Then it will be reformatted as 15:45 automatically.

Comments, Bank Holidays and Absences

Comments

To add comments to the Time In / Time Out timesheet:

  1. Select the icon next to the Start Time of any activity.
  2. Enter your comments in the box.
  3. Click away to save the comment.

Note:

  • When a comment is entered the box will change colour to green.
Bank Holidays

A Bank Holiday icon will appear on any days which are set as Bank Holidays in an employee's calendar and an activity will automatically be added to that day called "Bank Holiday Full Day".

Absences

In the Time In / Time Out timesheet, any absences appear at the bottom of the timesheet underneath all activities. The Absence has the Plan Type name listed with the Start and End Time of each half day of absence automatically entered into the box for that day (as shown below):

  • The Absence section of the timesheet is read-only.
